Write a brief the service coordinator can recognise
A useful software brief should let the person receiving the work recognise the task before anyone chooses a platform. “Improve our customer portal” does not explain whether the customer needs a clearer service description, the office needs a better request, or both need access to an approved report.
The worked brief below concerns a fictional supplier supporting meeting-room display installations in Saudi Arabia. It is a planning example, not an account of a client project, an equipment diagnosis or evidence of available field-service capacity. Use its questions to describe your own work, with private details removed.
Begin with the report the customer can actually make
The fictional customer writes: “The room display loses its picture after I change the input.” They know which room they are using, but the supplier has several installations for that customer. The existing enquiry contains only a name, email and free-text message.
The office must ask which site and room the customer means. A colleague then finds the answer in a separate message and begins assessing the service request. Nobody has yet inspected the equipment or established why the picture disappears.
The brief should preserve that last fact. Calling the request “replace a faulty screen” would insert a diagnosis and a proposed remedy that the customer did not establish. The intended improvement is to carry the reported symptom and relevant installation context into assessment.
State the first delivery in ordinary language
The supplier proposes a better service explanation and enquiry journey. A customer should understand what can be reported, supply enough context to identify the installation and receive an acknowledgement that leaves assessment pending. The office should receive that same account in a findable record.
For this proposed phase, appointment allocation, remote device control, equipment replacement and payment remain outside the development scope. They are not implied by the presence of a request reference. If the supplier later wants those operations connected, their rules and authority need a separate discussion.
The organisation names a service coordinator to approve the intake questions and a business owner to approve the public service description. Arabic wording requires a qualified reviewer. Faith Forge Labs' technical discussion normally takes place in English; production and review arrangements for Arabic are agreed explicitly.
Describe the necessary context and its limits
| Brief item | Worked requirement | Question still to resolve |
|---|---|---|
| Customer relationship | Identify the organisation requesting assessment | How is an authorised contact recognised at the relevant stage? |
| Installation | Preserve site and room context with the equipment description | Which references can the customer reasonably obtain? |
| Observed symptom | Keep the customer's account of the picture disappearing after an input change | Which follow-up question does the coordinator need before assessment? |
| Receiving work | Make the request and any clarification available together | Which existing tool is the authoritative request record? |
| Customer message | Explain that the request is awaiting review | Who approves the next message when the office has assessed fit? |
| Language | Support the agreed Arabic and English customer material | Which follow-up surfaces are included in the first release? |
Do not collect a device password, a recording of a private meeting or a full network configuration merely because it might be useful later. The brief should identify an appropriate separate process if authorised investigation needs restricted material.
Give the reviewer examples that distinguish a useful result
Use fictional request D-83 for Site North, Room Cedar, with the customer's original symptom. In the proposed acceptance check, the receiving coordinator can find the site, room, equipment description and reported behaviour together. The customer acknowledgement describes receipt for assessment. Neither view claims that the cause is known or that a visit is booked.
A second example uses another room with the same equipment description. It should remain a separate installation context. Matching a product description is not enough to merge the requests or move the first customer's clarification into the second case.
A third example has no usable room reference. The person should be able to understand what information is needed and how to continue through the agreed process. The application must not invent a room or silently select the first installation in a list to produce a complete-looking record.
These are review criteria for a proposed system. They have not been executed against a live form or receiving application. The implementation review will need to inspect the actual outgoing request, staff record and customer feedback under the supported conditions.
Add document delivery only if it belongs in the agreed phase
Suppose the owner also wants customers to see an approved inspection report later. That requirement needs more than a download button. The brief must identify who approves the report, which customer relationship permits access and how a corrected report is distinguished from an earlier one.
A draft technician note and an approved customer report have different purposes. A document becoming available should not automatically change a commercial decision or authorise further work. If these rules are not yet established, keep report delivery as a separately scoped option rather than concealing it inside “portal access”.
Leave the next decision clear
End the brief with the materials available for review, the owners who can answer open questions and the first delivery you want assessed. Include any existing software or provider dependency without assuming that it offers a supported connection.
The service-stage exercise helps identify where a question belongs. This written brief develops the account that follows. Discuss service websites, customer portals or project discovery according to the actual result, then send a concise project summary.
